    How It’s Done: from Conception to Completion

    When an attendee walks into your event they probably think “Wow! This is neat.” They probably never stop to think about all the planning and work that went into making it so neat. We are experts in this area. We plan for months and even sometimes years to make events flawless.

    When a client comes to us we start working immediately on the preparation process. First we want to know basics like event location, type of event and how much time do we have to prepare? Most of our clients recognize the value we give by having a complete production service company. We have established great working relationships with them for many years. We know what they expect and that gives us more room for creativity within their event parameters.

    We understand that cost is always in issue so we take the time to give our estimates in writing within a timely manner. We understand that your needs may change as the show develops and we are great at rolling with the punches and adapting quickly to your needs.

    Our artists and designers quickly begin working on proofs and samples before actual production begins. And we provide a contract so that both parties are protected and assured of the others commitment to follow through.

    We then go through several phases of pre-conference meetings on the phone, in person, and through electronic mail. This may seem redundant, however, anyone who has ever done a large event knows the tremendous value of making sure that everyone involved is on the same page. Our staff will take the time to make sure that what you are asking for is what you are getting and they think through your event to try to help with critical things that may have been overlooked.

    Several days before your event our staff really kicks it into gear. Trucks are loaded carrying everything we will need. Highly skilled techs are flown from around the country to your event. The truck(s) haul the gear to the venue. Our people make final preparations with the venue staff and work out any glitches that may have been overlooked. Yes, even with all this preparation seemingly small oversights need to be dealt with on location.

    Next our crew unloads the gear and sets up the show for you. It is amazing to watch as a bland room is transformed into something magnificent! Next come rehearsals. These are crucial. This can’t be emphasized enough. Although we have all spent countless hours toiling over the details of this event the actual presenters, actors, bands, etc may not have. And even if they have everyone still needs to get on the same page and lock it down for a seamless event.

    And then it happens. The show. We have all planned and worked so hard for so long for. It is like magic to see all your effort pay off. This is why we do what we do. All your efforts finally come to fruition. It is breathtaking! The lights go down. Videos roll. Bands play. Crowds are inspired. Presenters speak. CEOs lead their people. And the crowd never knows how hard we all worked. Just as it should be. Everything runs smoothly. And eventually the show ends.

    We always like to have a debriefing shortly after any event. We do this so that everyone has the opportunity to express things that could be improved for the next event, share feelings of what did and didn’t work, and make the next event that much better. Finally, we start preparing for the next event with you. And then the cycle begins again.
